Position Summary: The Regional Safety Administrator maintains records and data relating to safety and safety meetings, employee certifications, and incident or injury records for a specific geographical region. Will enter data and records into MEI systems and monitor systems for incomplete or missing records.
Essential Job Duties and Responsibilities:
- Record earned internal or external certification information for employees into the MEI Portal. Maintain certification data and monitor expiry dates – inform appropriate management regarding pending expiring certifications.
- Manage MEI portal for incident and/or injury claims reporting. Review Portal for incomplete or missing information and compile and input information to complete records as needed.
- Attend safety meetings and participate in job walks; keep related notes and maintain documents.
- Build and maintain positive relations and communication channels with claims managers, sureties, adjustors, or third-party administrators.
- Communicate appropriate information to MEI’s legal and risk management teams as requested or necessary.
- Manage documents and maintain data related to injured worker claims when required. Manage confidential information and ensure sensitive data security.
- Verify existing badges and create badges necessary for site/job access; generate informational certification badges as required.
- Assist the Safety Manager and safety team with reporting requirements, document maintenance, and maintain appropriate logs for regional office incident / injury records, equipment or material damage, or near-miss incidents.
- Assist department and/or office management with other administrative tasks such as ordering appropriate office supplies, Safety PPE’s, vests, hard hats, and manage related inventory.
- Local travel to job sites or other regional offices or storage/warehouse locations. Travel may be frequent to start.
Minimum Qualifications (Experience, Skills, and Education):
- High School Diploma or equivalent necessary. Prior knowledge of business operations, workers compensation processes, construction, or safety helpful. A combination of experience and education is preferred.
- Intermediate to advanced skills using a Windows-based computer.
- Minimum of 2 years’ experience using Microsoft Office Suite with extensive knowledge of Excel. Customer Relations Management software, and/or safety systems software knowledge helpful.
- Excellent communication skills and experience with in-person or face-to-face business or customer interactions preferred.
- Excellent data entry skills across varied software systems and platforms.
- Ability to maintain a high degree of accuracy in preparing and entering data and electronic information.
- Able to maintain discretion and confidentiality of employee and customer information.
- Strong organizational, detail-oriented and multi-tasking skills.
- Demonstrated ability to work under deadlines and timeframes effectively with positive and professional attitude.
- Valid driver's license or the ability to attain; must be insurable for the use of company vehicles if necessary.
Physical Requirements and Working Conditions: Work is typically performed in a normal, climate-controlled environment involving frequent use of hands / arms and activities requiring manual dexterity. Extended periods of seated work using a computer, telephone, and standard office equipment. May need to lift or move objects weighing up to 10 pounds. The Regional Safety Administrator may occasionally perform work in non-temperature-controlled warehouse environments, access low-lit or high noise areas, or work outdoors with exposure to inclement weather and uneven terrain.
