Position Summary:
The HazMat Operations Administrative Assistant (Operations Admin / HazMat) will assist the HazMat Supervisor and various operations departments with administrative matters relating to the safe handling, storage, or shipment of hazardous materials. This role will research and promote specialized information or regulations for warehousing and over-the-road (domestic intermodal or intramodal) transportation to ensure compliance with MEI processes, customer specifications, and all regulatory requirements.
Essential Job Duties and Responsibilities:
- Prepare tickets, labels, and necessary HazMat identifiers for all crating or materials used for the storage of HazMat items.
- Provide HazMat safety information to handlers and material movers as needed.
- May assist with the coordination with Environmental Health & Safety department and managers for updates to all SDS (safety data sheets) information and ensure this information is readily accessible.
- Identify, inventory, and track the movement of all containers identified with HazMat insignia or designation.
- Assist with storage layout / design or segregation information for materials that must be isolated or require specific ambient temperature considerations.
- May be involved with the determination of warehousing space, volume, container quantities, and resources needed for the movement or storage of hazardous materials.
- Participate in identifying and sourcing PPEs (personal protective equipment) that may be necessary for various types of hazardous material handling.
- Inspect HazMat containers upon arrival and prior to departing storage areas; record container condition, loading or unloading conditions and requirements, and identify personnel involved to ensure all needed information and materials are available.
- Keep timely inventory and records of items; make regular reports to department head and additional departments, as necessary.
- Communicate with outside organizations, customers, vendors, and regulatory entities, as needed.
- Perform all other duties as necessary or assigned.
Minimum Qualifications (Experience, Skills, and Education):
- HS Diploma or equivalent necessary; higher education (associate degree) helpful.
- HazMat certification or willing to obtain preferred.
- Two (2) years of experience in crating, warehousing, or transportation industry preferred; prior HazMat experience helpful.
- A minimum of 2 years’ experience using a Windows-based computer; knowledgeable in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and the ability to quickly learn other software.
- Use relevant information and individual judgement when inspecting storage materials or HazMat items; keep management and/or others informed as appropriate.
- Familiarity with common or MEI-specific HazMat items, interaction with other materials, and storage requirements preferred.
- Keep current on changing requirements, regulations, or conditions relating to the storage or movement of hazardous materials.
- Strong oral and written communication skills; be able to articulate difficult or new concepts and/or instruction clearly.
- Good understanding of the English language including the meaning and spelling of words; able to keep legible records, in English.
- Possess an ability to analyze information, identify potential issues, and proactively problem-solve to find solutions.
- Utilize good time management skills; is self-directed and self-motivated.
- Possess great customer relations skills; builds trust and positive working relations with all stakeholders.
- Knowledgeable in intra and interstate transportation requirements for the movement of hazardous materials.
Physical Requirements and Working Conditions:
Work is typically performed in a normal, climate-controlled environment involving frequent use of hands / arms and manual dexterity. Extended periods of seated work using a computer, telephone, and standard office equipment. The HazMat Operations Administrative Assistant may perform infrequent work that requires General Physical Activities involving standing, walking, climbing, bending / crouching, or moving items. Occasional exposure to non-temperature-controlled warehouse environments including accessing low-lit areas or high noise levels. May perform work outdoors with exposure to inclement weather and uneven terrain.
